Use Call Capture in HappyDoc

In this guide, you’ll learn how to use the Call Capture feature in your HappyDoc account. Call Capture lets you search for patients, initiate calls directly from HappyDoc, and generate related documents, all from one place.

First time? You'll need at least one verified Caller ID before you can place calls. If you haven't set that up yet, start here: Call Capture: Setup, Calling, and Troubleshooting.


Before you start

  • Call Capture is web only. Place calls from app.gohappydoc.com on a computer or tablet browser — the mobile app is for in-room recording, not client calls.

  • You need a verified Caller ID (the number clients see) and a receiving number (the phone HappyDoc rings first) already set up. See the setup guide.


1. Find the patient

  1. Log in at app.gohappydoc.com and select the appointment date you want to work with.

  2. Click Search by Patient and type the patient's name (for example, "Spike").

  3. When results appear, click the patient to open their record.


2. Start the call

  1. Inside the visit, find the small phone icon at the top of the screen, next to the patient's name.

  2. Click it to open the dialer.

  3. Review your Caller ID (what the client sees) and the receiving number HappyDoc will ring first to make sure both are correct.

  4. Enter the client's phone number and click Call.


3. How the call works

  • HappyDoc calls your phone first. When you pick up, it then calls the client and connects you both.

  • Think of it as a three-way call where HappyDoc is a silent listener — it records the conversation in the background for documentation. The client sees your verified Caller ID, not your personal number.

  • Pick up promptly when HappyDoc rings you, so it can connect you to the client right away.


4. Generate documents from the recording

  1. After the call ends, the recording appears automatically in the visit's Assets.

  2. Select the clip(s) you want to use and click Generate.

  3. You can generate any document type from a call recording — SOAP, summary, and more. For follow-up calls, HappyCallback summarizes the conversation and next steps.

  4. Review the generated document before finalizing.

Longer calls can take a few minutes to process. If the clip isn't in Assets yet, wait ~10 minutes and refresh the patient page.


Quick tips

  • Check your Caller ID before each call — it's what the client sees on their phone.

  • Pick up promptly when HappyDoc calls you, so it can bridge you to the client.

  • Any record type works — choose whatever fits the visit.

  • Review before finalizing — generated documents are fully editable.
