Use Call Capture in HappyDoc

In this guide, you’ll learn how to use the Call Capture feature in your HappyDoc account. Call Capture lets you search for patients, initiate calls directly from HappyDoc, and generate related documents, all from one place.

Navigate to HappyDoc

Start by heading to app.gohappydoc.com and logging in with your credentials. Once you’re on the main dashboard, select the appointment date you’d like to work with.

Search for a Patient

Click Search by Patient to begin locating a specific patient’s record. Type the patient’s name into the search field, for example, you might enter a pet’s name like “Spike.” Once results appear, click on the patient’s ID to open their record and view their details.

Initiate a Call

Once you’re in the visit, you’ll see a small phone icon at the top of the screen next to the patient’s name. Click that icon to start the call process. Take a moment to review your caller ID number and the phone number you’ll be calling from to make sure they’re correct. Then, dial the patient’s or client’s phone number and click Call to initiate the call.

How the Call Works

Once you click Call, HappyDoc acts as the initiator. It will first call your phone number. Once you pick up, HappyDoc will then call the patient or client and connect you both. Think of it as a three-way call where HappyDoc is simply a listener — it records the conversation in the background so it can be used for documentation afterward.

Generate Documents from the Recording

After the call is complete, the recording will be available in your visit assets. Select the clip(s) you’d like to use and click Generate to create documents based on the call. You can generate any type of record from the call recording — HappyDoc will process the conversation and produce the documentation you need for the visit.

Check your caller ID: Before confirming a call, always verify that the correct caller ID number is selected. This is what the patient or owner will see on their phone.

Pick up promptly: HappyDoc will call your number first. Make sure to answer so it can connect you to the patient or owner right away.

Any record type: You’re not limited to one document type. You can generate any type of record from the call recording, so choose whatever fits the visit best.

Review your documents: After generating, take a moment to review the documents to make sure everything looks correct before finalizing.
