Mobile App: Recording on a Phone or Tablet 📱

How to record a visit in the HappyDoc app on an iPhone, iPad or Android device, and what to do when a recording won't upload.

Before you start

This article is for the HappyDoc app on iPhone, iPad and Android. The app works the same way on every device, but a few screens and buttons look different. Wherever a step differs, we've split it out so you can follow the one for your device.

Download the app from the App Store or Google Play. The app is built for one job, recording your visits reliably. Reviewing, editing and exporting your finished documents happens in HappyDoc on a computer, so most practices record on a phone or tablet and review on the web.

⚠️ Use the app, not a browser. A browser on a phone or tablet doesn't get the same access to the microphone that the app does, and on iPhones and iPads a browser recording can be lost while it still looks saved.

Step 1: Sign in

Open the app and sign in with your HappyDoc email and password. Then:

  • On iPhone and iPad: if you work at more than one clinic, choose the clinic you're at today. You can change it any time with Switch clinic in Settings.

  • On Android: select your name from the doctor list.

Step 2: Find your visit

The patients you see in the app match the patients you see on your computer.

  • On iPhone and iPad, the Visits tab shows today's appointments.

    • Filter by doctor or room to see just your list. Visits for other doctors sit under Other Visits.

    • Search by patient or owner name to find a visit on any date.

    • Don't see an appointment that was just booked? Tap Sync in Settings.

    • No appointment at all, like a walk in? Tap Quick Start to start recording straight away.

  • Step 3: Record the visit

    1. Type the patient name before you start if you already know it. A typed name is more reliable than one picked up from the conversation. On iPhone and iPad, tap Done afterwards to close the keyboard.

    2. Start recording and see the patient as normal.

    3. When you finish:

      • On iPhone and iPad: tap Stop. Then tap Continue to add more, or the X to discard the clip. Choose your document types and tap Save & Generate.

      • On Android: tap Generate to create the document now, or Save if you might add another recording to the same visit first.

  • Give the recording a moment to upload before you put the device away. On Android, keep the app open and on screen until it's done.

💡 Quick Tips for a clean recording

Keep the screen awake: on iPhone and iPad, set Auto-Lock to Never (Settings, then Display & Brightness, then Auto-Lock). On Android, open Settings, then Apps, then HappyDoc, then Battery, and choose Unrestricted. The wording varies a little between phone makers.

Turn on Do Not Disturb: a phone call or a video call will take the microphone.

Leave your audio alone mid visit: connecting or disconnecting headphones or Bluetooth during a recording can stop it. If it does, start a new recording. Both attach to the same visit.

Check the microphone: on iPhone and iPad, Settings, then HappyDoc, then Microphone, switched on. Without it, the app records silence.

Step 4: If a recording won't upload

Every recording is saved on the device first, then uploaded. Anything that hasn't reached us yet is waiting on the device that made it, so you have to check on that same phone or tablet. The screen has a different name depending on your device:

  • On iPhone and iPad: On Device. It lists everything stored on the device, with a progress bar for each recording: Uploaded, then Transcribing, then Transcribed. Tap a recording that hasn't uploaded to retry it, on strong Wi-Fi. Still stuck? Tap it and choose Export Audio to save the file.

  • On Android: Incomplete Uploads, in your profile menu. Select the recording and tap Retry. If it fails, or already says it has failed permanently, download the file from that same screen.

Once you've saved the file, upload it to the visit in HappyDoc in Chrome on a computer. If any of that gets stuck, send us the patient name and roughly what time the visit was, and we'll check our side before you do anything else.

⚠️ Don't delete or reinstall the app while anything is waiting to upload. A recording that hasn't uploaded only exists on that device, and deleting the app deletes it too.

⚠️ On Android, if a recording says it has failed permanently, don't keep pressing Retry. Retrying won't clear it and it can close the app. Download the file instead, or contact us.

Running low on space on an iPhone or iPad? Clear All Verified, at the top of On Device, removes only the recordings we've confirmed we have.

Step 5: Keep the app up to date

  • On iPhone and iPad: open the App Store, tap your profile picture at the top right, scroll to HappyDoc and tap Update. Don't see it? Update your iPhone or iPad first (Settings, then General, then Software Update).

  • On Android: open Google Play, search for HappyDoc and tap Update.

Updating never removes your recordings.

Troubleshooting / FAQs

Q: I recorded on my phone but the clip isn't on the web app.
A: Give it about ten minutes, since longer recordings take longer to process. Then refresh the patient page. Then check On Device (iPhone and iPad) or Incomplete Uploads (Android) on the device that made the recording, and retry anything sitting there.

Q: My colleague's app says On Device and mine says Incomplete Uploads.
A: You're on different devices. It's the same screen with a different name: On Device on iPhone and iPad, Incomplete Uploads on Android.

Q: The app closed in the middle of a visit.
A: Recording uses a lot of the device. Close other apps before a long visit and make sure there's free storage. If it keeps happening, tell us which device you're using and which version of the app. On Android, swipe from left to right and the version is at the bottom of the left menu. On iPhone and iPad, it's in the app's Settings.

Q: I need to show a video to the owner during the appointment.
A: Stop the recording first, play the video, then start a new recording. Both will attach to the same visit.

Q: I recorded in the old version of the iPhone app and can't find it.
A: The old version stored recordings separately, so they don't show up in the current app. Before you delete or reset anything, contact us with the patient name and visit time and we'll check whether it reached us.

Q: Can I view or edit my documents in the app?
A: Not yet. Open HappyDoc on a computer to review, edit, copy and export them.

Q: Can I make a client call from the app?
A: Call Capture works from HappyDoc on the web. The app is for recording in the room.
