Exporting to Impromed

How the Impromed integration works, what we need from you to set it up, and what to do if appointments stop arriving or notes stop exporting.

Before you start

There are only two things we need from you. Everything else happens on our side.

  1. Run an installer on your Impromed server.

  2. Send us a screenshot of your Impromed schedule.

It has to be the server, not a workstationImpromed runs on a computer at your practice, so the integration needs a small piece of software installed onthe computer that hosts your Impromed database. Running it on a front desk workstation will appear to succeed and then nothing will sync. If you are not sure which computer that is, your office manager or whoever looks after your IT will know, and it is worth lining that person up before you start.


1. Run the installer on your Impromed server

  1. We will email you a download link that is unique to your practice. If you do not have it yet, tell us and we will send it.

  2. Open that link on the Impromed server.

  3. Run the downloaded installer.

  4. Windows may show a security warning. Click More info, then Run anyway.

  5. Follow the prompts. It finishes quickly, usually in under a minute.

The installer creates a secure connection between your Impromed database and HappyDoc. It does not change anything in Impromed and it does not move your records anywhere.


2. Send us a screenshot of your Impromed schedule

This is what lets us map your clinicians correctly, and a screenshot is much easier than typing it out.

  1. In Impromed, open your schedule view for a normal working day.

  2. Take a screenshot of the whole window, so the column headings are visible. Those column names are what we need.

  3. Reply to any email from us, attach it, and say that the installer has been run.

That is everything. From here we finish the setup.


3. What happens next

Once we have your confirmation and the screenshot, we configure the connection and map your clinicians to their schedule columns. This usually takes one to two business days. Enabling writeback so your notes can export back into Impromed can take up to 48 hours after that.

We will let you know when it is live. You do not need to do anything while you wait, and you can start recording visits in HappyDoc straight away if you want to. Notes recorded before the connection is live can still be exported once it is.


4. Check that appointments are syncing

  1. Log in at app.gohappydoc.com.

  2. Look at today's date.

  3. Appointments that came from Impromed show a circle arrow icon next to the patient name.

If you see the circle arrow, the connection is working. Anything without it was added in HappyDoc by hand. This is the quickest way to check the integration at any point in future, without having to ask us.

If the appointments do not match what you see in Impromed, or a clinician is missing entirely, tell us. A single doctor missing while everyone else is fine is almost always the column mapping, and it is a quick fix on our side.


5. Appointments booked today

Appointments come across on a schedule rather than instantly, so something booked in the last few minutes may not be there yet.

  1. Check you are on the right date, and set the doctor dropdown to All Doctors.

  2. Press the sync button in HappyDoc.

  3. Wait about 30 seconds, then refresh the page.

That is the routine for same-day bookings and walk-ins.


Keeping it working

Tell us before you change or move your Impromed server. This is the most useful thing on this page. Replacing the server, migrating it, renaming it, or a major Impromed upgrade will all break the connection, and the installer has to be run again on the new machine. If you tell us beforehand, it becomes a scheduled piece of work instead of a day with no appointments.

Tell us when a clinician joins. We map each doctor to their Impromed schedule column, so a new vet needs adding before their appointments will come across. Send us their name and we will do it.


Exporting a note into Impromed

  1. Open a synced appointment that has a generated document.

  2. Click Export in the icon bar at the top of the document.

  3. In Impromed, open that patient. The note will be on the record.

If there is no Export button, one of these four is missing:

  1. Writeback is enabled for your account. We do this, so if you are unsure just ask.

  2. The visit came from Impromed, or has a matching patient ID. Check for the circle arrow icon.

  3. The clinician on the visit is mapped. We do this too.

  4. The document type you generated has an export template linked to it.

The second one is the most common. A visit created by hand in HappyDoc has no patient ID to export against.


Known limitations

  • The exam room technician line does not carry across. If there is a field you need on the exported record, tell us which one and we will look at what is possible.

  • Formatting is simplified on export. Font size and styling in the exported note are controlled by Impromed rather than by HappyDoc. If the result is hard to read, send us an example.

  • Export handles one patient at a time. For appointments with more than one pet, see the multi-pet guide.


Troubleshooting / FAQs

Q: Can we run the installer on a workstation instead?
A: No. It has to be the computer that hosts your Impromed database. Running it anywhere else will appear to succeed and then nothing will sync.

Q: Windows is blocking the installer.
A: Click More info, then Run anyway. If your practice has software restrictions in place, whoever manages your IT may need to allow it.

Q: No appointments at all are coming through today.
A: An entirely empty day usually means the connection to your server has dropped rather than individual appointments being missed. Check the server is on and whether anything changed recently, then tell us.

Q: We replaced our server and now nothing works.
A: Expected, and fixable. The installer needs running again on the new machine. Tell us and we will send a fresh link.

Q: One doctor's appointments are missing but everyone else's are fine.
A: That is almost always the column mapping. Tell us which clinician and we will check it.
